Read, reply to and follow up on enquiries

Handle property and profile enquiries while respecting ownership, co-listing and team boundaries.

For: Agents & developers, Agency teams, Landlords2 min readReviewed

Before you start

  • Use an account entitled to the enquiry. Receiving a shared work assignment is not always permission to reply directly.

Step-by-step instructions

  1. Open Inquiries and find the message by its property, sender or current state using the available filters.
  2. Read whether it is a general profile contact, a property question or a viewing request.
  3. Open the conversation and reply through the available composer. Check that the message was saved or sent before retrying.
  4. Use viewing controls only for the relevant property enquiry, and confirm the schedule state after each change.
  5. If managing follow-up, open the relevant Lead Manager or team pipeline record rather than assuming that reading an enquiry advances its sales stage.
  6. Keep private notes in their dedicated area, not in a reply visible to the requester.

Workspace links may ask you to sign in. Access depends on your role, plan and the records shared with you.

Shared access is specific

A co-listing agent may receive enquiry access only for the authorised listing. An agency work view can expose an assigned conversation read-only while the owner handles the underlying enquiry.

The author of a reply or scheduling change is recorded where the workflow supports it. Access can end when an assignment, grant, membership or account eligibility changes.

Troubleshooting

I can read but cannot reply
Check your exact permission and whether you are in a team work view. Ask the owner to use the appropriate sharing workflow; a different URL does not widen access.
