Understand agency roles and shared work

Know what owners, managers, agents and accountants can do before sharing a listing or enquiry.

For: Agency teams, Agents & developers2 min readReviewed

Before you start

  • Only share records you own and are authorised to share. A member must have active access in the relevant team.

Step-by-step instructions

  1. Open the team and review its role guide and active members.
  2. The owner selects one of their own eligible listings or enquiries to share with the team.
  3. Assign the shared work to an approved manager or agent as the controls allow.
  4. The assigned member opens their work view and records internal follow-up through the permitted controls.
  5. Reassign or remove work when responsibilities change, then check that access reflects the new assignment.
  6. Use the separate viewing-assignment controls for a host's attendance or feedback responsibilities.

Workspace links may ask you to sign in. Access depends on your role, plan and the records shared with you.

Role boundaries

An owner manages membership and shares their records. Managers can read the team's shared work and reassign it within permitted roles, but cannot simply invite new staff or share the owner's other records. Agents read assigned work and maintain its internal follow-up. Accountants do not receive listing or enquiry access from their role.

A shared enquiry view can show its contact details and conversation without granting direct reply or calendar-control permissions. The owner's underlying listing and enquiry records are not transferred to the member.

Troubleshooting

A member can see fewer records after reassignment
Check the current role and assignment, not the previous screen. Permission is rechecked, and ended access must not be restored by sharing an old URL.
