Record property expenses and payment status

Keep repair and other portfolio expenses separate from rent charges and bank movements.

For: Agents & developers, Landlords, Agency teams2 min readReviewed

Before you start

  • Use a legitimate expense associated with a property or unit and the correct currency. Staff may need owner approval for a proposed expense.

Step-by-step instructions

  1. Open the relevant property's Expenses area or the portfolio Rent and expenses view.
  2. Record the title, category, payee, amount and date information requested.
  3. Select the correct property/unit context and review whether the expense is unpaid or already paid.
  4. Use the permitted paid-state action only after the underlying payment has actually occurred.
  5. If the expense was entered incorrectly, use its correction or void action and provide the required reason.
  6. For an agency accountant, submit the allowed expense proposal and wait for the owner to approve it before assuming it exists in the owner's source register.

Workspace links may ask you to sign in. Access depends on your role, plan and the records shared with you.

Amounts are records

Recording or marking an expense paid does not move money. Unpaid and overdue expense totals are derived from entered amounts and dates, not from an automatically reconciled bank statement.

Financial summaries keep currencies apart. Do not add amounts in different currencies or treat a combined activity screen as a profit statement.

Troubleshooting

I can view charges but not record an expense
Check whether you are an assigned accountant, whether proposals are allowed and whether the source workspace is writable. Financial visibility is not unrestricted editing permission.
