Record a tenancy and understand its status

Attach an agreement's dates, tenant and rent terms to the correct managed unit.

For: Agents & developers, Landlords2 min readReviewed

Before you start

  • Create the managed property and unit first. Use the real agreement's terms; the platform does not write or sign the agreement for you.

Step-by-step instructions

  1. Open the unit or Tenancies register and start the tenancy-recording action.
  2. Select the correct property/unit and enter the tenant and contact information requested.
  3. Enter start/end dates, rent amount, currency and frequency based on the actual arrangement.
  4. Review any overlap or date warning and compare it with other recorded tenancies for that unit.
  5. Save and check whether the tenancy is upcoming, current or ended on the service's civil date.
  6. Create charges, attach appropriate documents and set up separate tenant/landlord sharing where needed.

Workspace links may ask you to sign in. Access depends on your role, plan and the records shared with you.

Recording is not contracting

Saving a tenancy is an internal record. It does not sign a legal agreement, collect rent, send an invitation or grant portal access automatically.

Rent terms and rent charges are separate. A tenancy's annual rent does not mean every charge or receipt has already been entered. The ledger reflects charges and payments actually recorded.

Troubleshooting

Dates overlap with another tenancy
Review the existing agreement's effective end date, any recorded early end and the new start. Do not alter dates just to silence a conflict.
