Record deposits, inspections, deductions and refunds

Keep a reasoned deposit ledger and final inspection evidence without confusing an entry with a money transfer.

Before you start

  • Use the tenancy's own currency and real deposit events. Inspection drafts and final records have different editing rules.

Step-by-step instructions

  1. Open the tenancy's deposit and inspection section.
  2. Record a deposit receipt only for money actually received, using its real date and amount.
  3. Create a move-in or move-out inspection draft with the relevant areas, conditions and notes.
  4. Review the draft before finalising it. Check any unsaved changes and the saved revision the finalisation refers to.
  5. Record an authorised deduction with the required reason and cite a final move-out inspection where appropriate.
  6. Record an actual refund through the refund-entry control, then check the remaining deposit balance.
  7. Correct an erroneous posted entry or final record through the permitted void process with a reason, preserving history.

Workspace links may ask you to sign in. Access depends on your role, plan and the records shared with you.

Settlement is a separate record

The ledger records receipts, deductions and refunds; it does not collect, hold or send deposit money. A deduction entry is not a legal decision about whether a deduction is justified.

Final and void inspections remain distinguishable. A cited inspection can later be voided without silently changing the deposit entry itself. These private settlement records do not automatically appear in the landlord portal.

Troubleshooting

I cannot edit a final inspection
Use the supported void/correction route, not the draft editor. Preserve a reason and record the accurate replacement where allowed.
